Exact Navigation Path

Rabbits → Smart Import

Before You Start
  • Smart Import is rolling out gradually. If the Rabbits page shows Scan Pedigree instead of Smart Import, it is not on your account yet. Use Scan Pedigree or Import CSV in the meantime.
  • What you can add: PDF pedigree documents; JPEG, PNG or WebP photos or scans; HEIC iPhone photos (converted to JPEG on your device); CSV or TSV spreadsheets; or a ZIP of those files. Other file types are skipped.
  • One import can read up to 120 pedigrees and up to 10,000 spreadsheet rows. Each file can be up to 40 MB. Split a larger collection into several imports.
  • If your plan has a scan limit, each pedigree read uses one scan credit, even when it spans several pages. Spreadsheet rows are free. The count is shown before anything is read.
  • Smart Import needs an internet connection to upload, review and import. If you go offline during review, your review is kept until you reconnect.

Overview

  • Smart Import reads many pedigrees and spreadsheets in one pass, matches the rabbits and ancestors they share, and compares them with the rabbits already in your herd. Nothing is added to your rabbitry until you select Import records, and you can undo an import for 30 days.

When To Use

  • You have more than a few pedigrees to bring in, a mix of pedigrees and a herd spreadsheet, or a ZIP from another program.
  • For one pedigree, Scan Pedigree is quicker. For a very large spreadsheet on its own, Import CSV has more options.

Step-By-Step Guide

1

Add your files

Pedigrees and spreadsheets can go in the same import.

1.1 Open Smart Import

Open Rabbits and choose Smart Import. If you have an unfinished import, choose Resume import to pick up where you left off, or Discard unfinished import to start fresh.

1.2 Add files

Drag and drop files onto the page, or use Choose files. On a phone or tablet you can also use Take a photo or Scan with camera. Use Add more files to keep adding.

Watch For This
  • Blurry, dark, tilted or glare-covered photos are read less reliably. Retake them before you start if you can.
1.3 Answer any file questions

If a file shows What is this file?, choose what it is. For a spreadsheet, choose Review columns and confirm which column holds each detail, such as name, tattoo, sire, dam or weight. Columns you do not need can be ignored.

1.4 Start the import

The summary shows how many files are ready and about how many records they hold. Choose Start import. Your files upload and Smart Import starts reading them.

What You Should See
  • A progress screen such as Uploading your files or Reading your records. Nothing has been added to your rabbitry yet.
You Should Now Have
  • Smart Import has your files and shows what it found in them.
2

Choose what to read

Pick the pedigrees and rows this import should include.

2.1 Check the list

Smart Import lists the pedigrees and spreadsheet rows it found and selects the ones that fit. Use Show page to look at a pedigree, and uncheck anything you do not want. An entry marked Not sure this is a pedigree should be checked before you include it.

2.2 Fix page splits if needed

If a pedigree runs over two pages or one page holds several pedigrees, choose Fix how pages are split into pedigrees before you continue.

2.3 Confirm spreadsheets inside a ZIP

A spreadsheet inside a ZIP appears under Spreadsheets that need their columns confirmed. Choose Review columns, confirm them, and its rows join the list. Files in the ZIP that Smart Import cannot use are listed as skipped.

2.4 Stay within the limit

If more than 120 pedigrees were found, use Select the first 120 or uncheck some, and bring the rest in with another import.

2.5 Confirm your selection

Choose Import … selected. The button shows how many pedigrees and rows you chose. Smart Import reads the pedigrees and matches them with each other and with your herd.

Why This Step Matters
  • You can close Smart Import while it reads. Open it again from Rabbits, or use Past imports, to continue.
You Should Now Have
  • Smart Import opens Review what we found when reading is complete.
3

Review what was found

Every rabbit and ancestor is shown once, even when several files mention it.

3.1 Use the review tabs

Ready, Needs Review, Existing Matches and Excluded sort the records. Ready records are included automatically; uncheck any you do not want. Search finds a record by name, tattoo or registration.

3.2 Make the decisions marked Needs your decision

Open Review details. For a possible match with a rabbit already in your herd, compare the tattoo, date of birth and parents, then choose Approve match to update that rabbit, or Keep separate to add it as a new rabbit.

Watch For This
  • A name alone is not proof of a match. Each match is labelled with how strong it is, such as “Several identity details agree” or “Name only; this may be a coincidence”.
3.3 Approve safe matches together

Strong matches with nothing to choose can be approved at once with Approve safe matches; the button shows how many there are. Existing values, ownership and status of your rabbits are never replaced.

3.4 Correct details before saving

Use Correct extracted details or Correct parent links to fix a value, then Save choices. Your value is kept unless you choose to replace it. A blank tattoo or date of birth means unknown.

Why This Step Matters
  • When Smart Import cannot read a detail, it leaves it blank instead of guessing.
3.5 Set ownership and status

Under Ownership and status, choose In my herd for a rabbit in your rabbitry, check I own it if it is yours, and pick its status. Choose Not owned (ancestor record) for ancestors you never had, so they appear in pedigrees without joining your herd.

You Should Now Have
  • Nothing is left marked Needs your decision, and the records you want are included.
4

Import, then undo if needed

Saving is a separate, final step.

4.1 Review the import summary

Choose Review import to see new rabbits and ancestors, existing rabbits updated, empty fields filled in, and rabbits with parent links. Use Back to edit to change anything.

4.2 Choose Import records

Choose Import records. When it finishes, your rabbits are in your rabbitry with their parent links.

4.3 Undo within 30 days

Open Past imports, open the import and choose Undo import. Undo shows what it will remove first. Rabbits you edited or used elsewhere since the import are left as they are, and rabbits you already had are never deleted.

4.4 Cancel an import you no longer want

Before importing, choose Cancel import in Past imports or when you discard the import. Nothing from a cancelled import is added to your rabbitry.

You Should Now Have
  • The import appears in Past imports, and you know how to undo or cancel it.

You're Done When

  • New rabbits and ancestors appear in Rabbits with their sire and dam linked.
  • Rabbits you already had changed only where you approved a match or chose to replace a value.
  • The import is listed in Past imports.

Common Mistakes

  • Expecting the import to be saved before you choose Import records.
  • Approving a possible match without comparing tattoo, date of birth and parents.
  • Leaving an import unfinished. Unfinished imports are removed after 7 days without activity, and after 30 days at most.
  • Putting more than 120 pedigrees in one import instead of splitting them.

If Something Still Looks Wrong

Why was a file skipped?

Smart Import reads PDF, JPEG, PNG, WebP, HEIC, CSV, TSV and ZIP files. Other files, including notes or README files inside a ZIP, are listed as skipped and are not imported.

Why is a spreadsheet from my ZIP missing?

Confirm its columns under Spreadsheets that need their columns confirmed while you choose what to read. If its columns cannot be read, add the CSV on its own.

Why is a detail blank?

Smart Import leaves a detail blank rather than guessing when it cannot read it clearly. Use Show page or Check page to look at the original, then fill it in with Correct extracted details.

Why is reading taking a while?

Pedigrees are read a few at a time, and imports wait their turn when many people import at once. The progress screen keeps updating, and you can close it and return from Past imports.

FAQ

Does Smart Import replace Scan Pedigree and Import CSV?

No. Both stay on the Rabbits page. Scan Pedigree is quickest for a single pedigree, and Import CSV has more options for very large spreadsheets. Smart Import can send a large CSV there with Use the large CSV importer.

Will Smart Import change rabbits I already have?

Only where you approve a match. It can fill empty fields and add parent links, but your existing values, ownership and status are kept unless you choose to replace a value.

How many scan credits does it use?

On plans with a scan limit, one credit per pedigree read, even when a pedigree spans several pages. Spreadsheet rows are free. The selection step shows the count before anything is read. Plans without a scan limit do not see credit counts.

What happens to my original files?

They are kept with the import for 7 days after it finishes or is cancelled, so you can check them from Past imports, and then deleted. Your imported rabbit records stay.

When To Contact Support

  • An import stays on the same progress step for a long time and Resume does not move it forward.
  • Undo import or Import records keeps failing while you are online.
  • Imported rabbits are missing parent links that looked correct in review.
