  • Know whether you want Recorded costs only, or Recorded costs + labor and overhead for this review.
  • Remember that Ancestors stay out of this report. Sold, Deceased, and Co-Breeding rabbits can still appear for lifetime economics.

Overview

  • Profit & Cost Tracking is a managerial unit-economics lens for pricing and comparison. It does not replace or alter Sales & Finances cash totals, the tax report, or the Financial Summary in Detailed Analytics.
  • The workspace has Overview, Rabbits, Litters, Projects, Processing, and Allocation Review. Exports still use the formal term “unit economics” in the file contents.
  • Unknown prices stay unknown. Partial results say “At least $X known,” and incomplete margins or suggested prices stay unavailable until the missing priced data is fixed.

When To Use

  • You want to compare which rabbits, litters, or projects are carrying their costs before you set a sale price.
  • You want to see money still invested in grow-outs that have not produced realized revenue yet.
  • You need to assign unpriced or unassigned costs, review low-confidence splits, or export a detailed managerial report.

Step-By-Step Guide

Open Profit & Cost Tracking and set the review controls

Start with the date range and cost basis so the numbers match the decision you are making.

1.1 Open Reports, then Profit & Cost Tracking

Open Reports from the sidebar or mobile menu, then choose the Profit & Cost Tracking tab.

What You Should See
  • You should see Profit and cost controls, then sections for Overview, Rabbits, Litters, Projects, Processing, and Allocation Review.
1.2 Choose the date range and costs to include

Set From and Through if you want a limited period. Use Costs to include to choose Recorded costs only or Recorded costs + labor and overhead.

Why This Step Matters
  • Recorded costs only uses attributable recorded revenue and costs such as acquisitions, feed, medicine, processing, and assigned purchases.
  • Recorded costs + labor and overhead also includes recorded labor, recurring rabbitry expenses, and straight-line equipment depreciation.
Watch For This
  • Your bookkeeping and tax reports stay unchanged no matter which cost basis you choose here.
1.3 Set target margin and optional labor or overhead defaults

Enter a Target margin percent when you want suggested revenue needed for that margin. Save defaults only if you want new labor and overhead cost entries to start from those rates.

What You Should See
  • Saved labor and overhead amounts are defaults for new cost entries; saving them does not create a cost by itself.
You Should Now Have
  • You are looking at the managerial report with the cost basis and date range you chose.

Read Overview, then drill into rabbits, litters, projects, and processing

Use Overview for the rabbitry-wide snapshot, then open the subject tabs for comparison.

2.1 Review Overview metrics

Check Revenue, recorded or fully loaded costs, Margin to date, Revenue needed for the selected margin, Money invested in grow-outs so far, and Priced records assigned.

Watch For This
  • Incomplete badges and “At least $X known” mean required prices are still missing. Do not treat those incomplete margins as verified.
2.2 Compare Rabbits, Litters, and Projects

Open each subject tab to compare lifetime or rollup estimates. Litter and project rollups are for comparison and do not change rabbitry-wide totals.

Why This Step Matters
  • Ancestor rabbits are excluded from economics subjects, assignment pickers, shared animal-days, and rabbit profile snapshots.
  • Sold, Deceased, and Co-Breeding rabbits remain eligible for lifetime economics.
  • Breeder-contribution returns are comparison-only and are not added into rabbitry-wide totals.
2.3 Use Processing for age and weight observations

Open Processing when you want best-supported age or dressed-weight ranges. Estimated retail value is never counted as a sale.

What You Should See
  • Age and weight buckets appear only when enough dated processing observations exist.
You Should Now Have
  • You can tell whether a pricing or grow-out question needs Overview, a subject tab, or Processing.

Keep assignments accurate as you log sales, purchases, and inventory

Profit & Cost Tracking consumes the same sales and purchases you already record, plus targeted inventory usage and added costs.

3.1 Assign income or expenses when logging sales and purchases

In Add Sale or Log Purchase, use Profit & cost assignment when automatic linking is not enough. Log Purchase can assign one or more rabbits (equal split by default, with optional custom percents), or a single litter or project. Leave the purchase as a general expense to assign later.

Watch For This
  • Editing a sale or purchase preserves an existing multi-target assignment unless you explicitly clear or change the Profit & cost assignment.
  • Allocation Review can still edit rabbit, litter, or project splits after the purchase is saved.
3.2 Target inventory usage when you know who used the supply

When logging inventory usage, choose Used for Rabbit, Litter, or Project when you know the target. General rabbitry use remains available for shared barn costs.

Why This Step Matters
  • New targeted usage freezes its known unit or per-gram cost. Shared herd costs are split by how long each economics-subject rabbit was in the herd.
3.3 Understand open deposits and payment-dated revenue

Multi-payment sales contribute revenue by each payment date, not by counting the agreed price plus payments. An open deposit does not end animal-days until the sale is completed.

You Should Now Have
  • New sales, purchases, and inventory usage feed the managerial report without changing cash/tax totals.

Use Allocation Review, then export when the coverage looks trustworthy

Allocation Review is where incomplete priced records and manual assignments get cleaned up.

4.1 Open Allocation Review

Choose Allocation Review to add labor, overhead, equipment, or other costs that are not already in purchases or inventory, and to assign priced records that still need a target.

What You Should See
  • Cards for added costs, costs and income needing assignment, missing inventory prices, orphaned links, low-confidence estimates, possible duplicate acquisitions, excluded records, and manual assignments.
4.2 Assign, exclude, or fix incomplete records

Use Assign on priced records that need a rabbit, litter, or project. Exclude a record only when it should stay out of Profit & Cost Tracking on purpose.

Watch For This
  • If you delete a rabbit, litter, or project that was the sole target of a cost, that cost becomes unassigned for Allocation Review instead of spreading across the herd.
  • Low-confidence estimates mean the dollar amount is known, but the split method is estimated.
4.3 Export CSV or PDF when you are ready

Use Export CSV or Export PDF from Profit and cost controls after the date range and cost basis look right.

Why This Step Matters
  • Exports include calculation basis, metric states, assumptions, coverage, warnings, processing observations, overrides, and per-target source breakdowns.
You Should Now Have
  • You can clean incomplete assignments and export a managerial report that matches the controls you set.

You're Done When

  • You can open Profit & Cost Tracking from Reports and switch among Overview, subject tabs, and Allocation Review.
  • You know Recorded costs only versus Recorded costs + labor and overhead, and that neither changes tax or Financial Summary totals.
  • You know Incomplete or “At least $X known” means missing priced data, not a silent zero.
  • You know open deposits count payment-dated cash and do not end animal-days until the sale is completed.

Common Mistakes

  • Treating Profit & Cost Tracking as a replacement for the tax report or Financial Summary.
  • Expecting Ancestor rabbits to appear in report rows or assignment pickers.
  • Assuming an open deposit ends a rabbit’s animal-days or counts the full agreed price as revenue before the cash is received.
  • Deleting a rabbit, litter, or project and expecting its sole assigned cost to silently spread across the herd.

If Something Still Looks Wrong

Why is this different from the Financial Summary or tax report?

Sales & Finances and Detailed Analytics keep recorded-cash and bookkeeping totals. Profit & Cost Tracking is a separate managerial estimate for pricing and comparison. It consumes the same sales and purchases but does not feed managerial additions back into financial totals.

Why is an Ancestor rabbit missing?

Pedigree-only Ancestor rabbits are excluded from economics subjects, assignment pickers, shared animal-days, and rabbit profile economics snapshots. Co-Breeding rabbits stay eligible.

Why did a deleted rabbit leave an unassigned cost?

When a deleted rabbit, litter, or project was the sole target of a cost, Rabbitry Run leaves that cost unassigned for Allocation Review instead of spreading it across the herd.

Why is margin unavailable even though I see some dollars?

Partial known amounts show as “At least $X known.” Required missing prices stay unknown rather than being converted to zero, so margin and suggested price wait until the record is complete enough.

FAQ

Does Profit & Cost Tracking change my tax PDF?

No. Export the tax report from Sales & Finances Overview. Profit & Cost Tracking is for managerial pricing and comparison only.

What happens to grouped rabbit sale income?

Grouped rabbit revenue splits equally by default. A linked processing batch uses processed or dressed weight when every rabbit has one recorded; otherwise it uses an explicitly estimated equal split.

Where do labor and equipment costs go?

Add them in Allocation Review when they are not already captured as purchases or inventory. Use Recorded costs + labor and overhead when you want those entries included in the estimate.

When To Contact Support

  • Profit & Cost Tracking is missing from Reports even though Reports is enabled in your workspace.
  • Assigned sales, purchases, or inventory usage never appear after you save them and refresh the report.
