  • Create or confirm the buyer contact when you want payment history tied to a person.
  • Decide whether the rabbit should move to Sold now, or stay available until the deposit sale is completed later.

Overview

  • Sales can be recorded as a full payment that completes immediately, or as a deposit / partial payment that leaves the sale open until you finish it.
  • After a sale exists, use the Payments action to open Manage Payments, where you edit Agreed price, add Deposit, Payment, or Final Payment rows, and Complete Sale when ready.
  • Financial summaries and Profit & Cost Tracking both treat multi-payment sales as payment-dated cash events. The agreed price alone is not counted as received cash.

  • A buyer pays a deposit now and will finish payment later.
  • You need to add, edit, or remove payment rows after the original sale was saved.
  • You want to complete an open deposit sale and mark linked rabbits Sold.

Step-By-Step Guide

Choose Full payment or Deposit / partial when creating a sale

New sales from Add Sale let you choose how today’s cash should be recorded.

1.1 Open Add Sale

From Sales History, start Add Sale and fill in the rabbit or item, buyer, date, and agreed price as usual.

What You Should See
  • On a new sale, you should see a Payment received section with Full payment and Deposit / partial.
1.2 Use Full payment for a completed cash sale

Choose Full payment when today’s received amount finishes the sale. Full payment completes the sale and marks linked rabbits Sold.

Why This Step Matters
  • Amount received today follows the agreed price for a full payment unless you change it before saving.
1.3 Use Deposit / partial for money received now with balance later

Choose Deposit / partial, enter Amount received today, and pick a payment method.

What To Enter
  • Enter the deposit amount actually received today. Do not enter the full agreed price here unless that is truly what was paid.
Watch For This
  • Leave Complete sale and mark rabbit Sold now unchecked to keep an open deposit. Check it only when you want the sale completed immediately despite using the deposit path.

Manage payment history on an existing sale

Open deposits and later installments are maintained from Sales History.

2.1 Open Payments on the sale row

In Sales History, find the sale and choose Payments to open Manage Payments.

What You Should See
  • You should see Agreed price, Paid, Balance, Payment history, and Add payment controls.
2.2 Add or edit payment rows

Use Add payment to record Date, Amount, Type, Method, and optional Notes. Types include Deposit, Payment, and Final Payment.

Why This Step Matters
  • Edit or Remove an existing row when a payment was entered incorrectly. Save to keep the updated history.
Watch For This
  • If payments exceed the agreed price, raise the agreed price or edit a payment before you trust the balance.
2.3 Complete Sale when the rabbit or order should close

On an open sale, use Complete Sale after the payment history looks right. Confirm if a balance remains and you still want to mark linked rabbits Sold.

What You Should See
  • Completing the sale closes the open deposit workflow and applies the Sold outcome for linked rabbits.
If You Don't See This
  • If you only see Save and not Complete Sale, the sale is already completed or is not in an open state.

  • You can maintain balances over time and complete the sale when the deal is finished.

Understand how payments affect reports and inventory

Cash timing and completion status matter outside the sale form itself.

3.1 Read cash reports by payment date

Treat each recorded payment as cash on its own date. Financial Overview and Profit & Cost Tracking use those payment-dated cash events rather than inventing income from an unpaid agreed price.

Watch For This
  • An open deposit does not end animal-days in Profit & Cost Tracking until the sale is completed.
3.2 Know the freezer-linked meat exception

If a meat sale is linked to freezer inventory, Deposit / partial is unavailable. Complete those sales in full so stock deducts when the product leaves inventory.

Why This Step Matters
  • Open deposits for other item types also defer freezer deductions until completion when inventory would otherwise be consumed too early.
3.3 Keep reservation notes separate from sale payments

Reservation deposit notes in Fulfillment are reminders only. Record actual money in the sale payment history when cash changes hands.

  • Create a linked sale from a reservation when the transaction is ready, then use Payments if the buyer is paying over time.

  • Expecting an open deposit to mark the rabbit Sold and remove it from active sale workflows.

  • Using a reservation deposit note as a substitute for a real sale payment history.
  • Trying to leave a freezer-linked meat sale on deposit; those sales must complete in full so stock deducts when the product leaves inventory.

If Something Still Looks Wrong

Why is the rabbit still For Sale after a deposit?

Open deposits keep the sale incomplete on purpose. Use Complete Sale from Manage Payments, or check Complete sale and mark rabbit Sold now when creating the deposit if the rabbit should transfer immediately.

Why does income look lower than the agreed price?

Cash summaries use payment dates and amounts. Unpaid balance is not treated as money already received.

Why can I not choose Deposit / partial on a meat sale?

Freezer-linked meat sales must be completed in full so inventory deducts when the product leaves stock.

Where do I add a second payment later?
